Job summary

This is a non-clinical role working with the nursing team at St. Bartholomew & Hollow Way Medical Practice. The main purpose of this role is to support our existing clinical team of GPs, Practice Nurses, and professionals by ensuring that appropriate stock levels are managed, medical rooms are maintained to appropriate standards across all four sites, and administrative support is provided for infection prevention, medicines monitoring, and general practice operations.

St Bartholomew and Hollow Way Medical Practice has a large team, including currently six GP partners, salaried GPs, pharmacists, ANPs, Paramedics, Practice nurses, HCAs and phlebotomists. They are supported by an invaluable admin and reception team.

We work across four sites based at Manzil Way, Ivy Close, Lake St and Oxford Brookes University. We manage our own PCN.

We are a training practice, supporting trainee GPs, medical students, pre-reg nurses and pharmacists.

We work hard, support each other as a team and encourage everyone to achieve their work life balance.

We welcome informal visits and would be pleased to introduce you to our team.

Main duties of the job

The role involves coordinating stock control and replenishment across four practice sites, including ordering, monitoring inventory, checking deliveries, distributing supplies and ensuring stock is rotated and stored appropriately. Responsibilities also include maintaining clean, organised stock rooms, completing equipment and environmental checks, supporting infection prevention and control (IPC) audits, maintaining records, reporting incidents and assisting with protocols and risk assessments.

The role also supports medicines monitoring and patient recalls by identifying patients due for high-risk medication reviews, contacting patients and arranging appointments, escalating concerns and maintaining accurate records. Additional duties include monitoring fridge temperatures, supporting vaccination and seasonal clinics, assisting with daily nursing checks, organising meetings, taking minutes and providing general administrative support to nurses, managers and the wider practice team across all four sites.

About us

We are committed to ongoing training and development of all our staff and have an Investors in People accreditation. We have protected time for monthly nursing meetings as well as quarterly all practice meetings with the whole practice team.

We are an established training practice, supporting trainee GPs, medical students, pre-reg nurses and pharmacists All members of the team are involved in sharing their skills and knowledge with trainees. We are heavily involved in research with strong links to the NIHR and more recently have been selected to run two commercial vaccine trials. Research brings additional benefits and opportunities to our patients.

We are excited to be in the process of establishing our own PCN now that we have merged practices. This gives us the opportunity to work closely with ARRS roles to further enhance the care and provision for our patients. Patient engagement is important to us and we have an active PPG which meets regularly.

The team enjoys frequent get togethers both in work with protected daily coffee breaks at 10.30am as well as social events outside of work such as coach trips to Bournemouth Beach and fish and chips in the park to name but a few
