Job summary

We are looking to recruit a receptionist to join our small friendly team here at West Oak Surgery for 20.15 hours per week. These will be set shifts on various days over a 4 day period (Tues-Fri) as follows:

Tuesday 7.15am-12.30pm

Wednesday 7.15am -1.30pm

Thursday 7.45am-12.30pm

Friday 2.30pm-6.30pm

We may consider exchanging one of the Wednesday or Thursday morning shifts for a Thursday afternoon shift but this will be discussed at interview. The Tuesday and Friday shifts are not negotiable so please bear this in mind when applying.

Experience is desirable, but training can be provided for the right applicant.

We are happy to undertake informal visits to discuss the role with potential candidates who would like further information before applying.

Please note that various cover for colleagues will need to be undertaken at times, and therefore you must be able and willing to commit to changing rota patterns.

Main duties of the job

Main duties include front of house duties such as booking patients in and dealing with enquiries from patients online, over the phone or in person, as well as dealing with enquires and requests from our clinical team. Duties will also include initial prescription processing and other processes which form part of our busy GP surgery.

Mandatory training is also required annually and applicants must be prepared to undertake this as part of the role.

The role is demanding, but rewarding, and excellent support is given by our existing friendly team.

Administration

  • To have a thorough knowledge of all Practice procedures
  • To work in accordance of protocols
  • Scanning correspondence

Reception

  • To book in patients consulting with members of practice team
  • Process repeat prescription requests in accordance with practice guidelines including online requests
  • Handing over all correspondence to patients ensuring names and addresses are checked
  • To deal with incoming and outgoing telephone calls for the practice
  • Registration of new patients
  • Process patients change of details
  • To check and action electronic tasks daily
  • Be able to cover all reception positions as necessary
  • Receiving and directing patients appropriately
  • Handling busy telephone lines and dealing with general enquiries
  • Process appointment requests from patients by telephone and in person
  • Deal with visits requests

Other Tasks

  • Ensure building security have thorough knowledge of doors/windows/alarm
  • Any other tasks allocated by managers

  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Infection prevention training to be updated annually
  • Using and complying with current infection control policies and procedures
  • Report any potential risks /problems to the Practice Nurse or the Practice Manager
  • Take responsibility for protecting themselves and others against infection risks
  • Maintaining work areas in a tidy and safe way and free from hazards
