Job summary

Arbury Road Doctors Surgery is a busy GP Surgery with 12500 patients. We are looking for an enthusiastic, polite and self motivated Patient Administrator to join our team.

Main duties of the job

  • Greet patients and visitors to the practice.
  • Book in patients and visitors in line with practice appointments and visitors procedures.
  • Respond to and/or redirect all patient and visitor requests accordingly.
  • Ensure computerised appointment system is kept up-to-date.
  • Book, amend and cancel patient appointments.
  • Take requests for home visits.
  • Liaise with prescription department.
  • Set-up of new patients onto the computer system.
  • Answer incoming telephone calls, ensuring calls are documented and redirected accordingly.
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
  • Provide clerical assistance to practice as required from time to time, including word/data processing, filing, photocopying and scanning.
  • Assist in the completion of medical/insurance reports.
  • Summarising medical records and entering data onto the practice database.
  • Tidying of patients previous manual medical records.

Job description

Job responsibilities

JOB PURPOSE

Greet patients and visitors in an efficient and courteous manner.

Provide a caring and compassionate service to patients.

Provide an effective and polite telephone enquiry service.

Proactively communicate information between relevant patients, doctors and professionals.

Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team.

To ensure the accurate and timely recording of patient data onto the SystmOne database.

MAIN DUTIES AND RESPONSIBILITIES

  • Greet patients and visitors to the practice.
  • Book in patients and visitors in line with practice appointments and visitors procedures.
  • Respond to and/or redirect all patient and visitor requests accordingly.
  • Ensure computerised appointment system is kept up-to-date.
  • Book, amend and cancel patient appointments.
  • Take requests for home visits, emergency visits and hospital transport.
  • Liaise with prescription department.
  • Set-up of new patients onto the computer system.
  • Answer incoming telephone calls, ensuring calls are documented and redirected accordingly.
  • Ensure up-to-date maintenance of both computerised and manual filing systems.
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
  • Provide clerical assistance to practice as required from time to time, including word/data processing, filing, photocopying and scanning.
  • Assist in the completion of medical/insurance reports.

  • Ensure confidential paper waste is shredded.
  • Ensure correct postage is put on envelopes and taken to the postbox daily.

  • Secure the building at the end of the working day.
  • Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures.
