Job summary

The postholder will manage day-to-day Information Governance (IG) compliance enquiries relating to Information Asset Management and Data Security and Protection Toolkit (DSPT) compliance. They will support and coordinate external assessment submissions, including DSPT, internal and external audits, CQC evidence requests, and compliance reporting. The role will coordinate information asset register activities, including data flow mapping, procurement due diligence, reviews, assurance processes, and reporting. Responsibilities include undertaking compliance spot checks, managing the IG compliance platform for information assets, supporting the development of information asset management practices, and monitoring progress against compliance targets.

The postholder will work closely with Information Security colleagues on compliance matters, support related workflows, and maintain IG action trackers to ensure timely delivery of work. They will monitor IG training compliance, provide advice on data protection, confidentiality, information rights, and information security requirements, and deliver training where required.

Main duties of the job

Advice and escalating complex or confidential matters as appropriate. Triage and coordination of IG incidents, ensuring timely escalation and resolution. Coordinate Data Security and Protection Toolkit (DSPT) submissions, audits and compliance assessments. Produce compliance reports, dashboards and management information, including trend analysis, performance monitoring and issue escalation to relevant committees and senior management Manage and monitor IG action plans and task trackers, ensuring timely delivery of agreed actions. Review and maintenance of IG policies, procedures, guidance and learning materials. Coordinate Information Asset Management activities. Undertake IG spot checks and assurance reviews across clinical and corporate areas, providing written feedback and monitoring completion of actions. Maintain IG, Caldicott and compliance enquiries and support IG incident investigations where required. Coordinate IG risk assessments, including Data Protection Impact Assessments (DPIAs), and arrange associated meetings and reviews. Organise and support DSPT Working Group and other governance meetings, preparing papers, taking minutes and tracking actions. Maintain IG intranet content and support the effective operation of team systems and processes. Travel between Trust sites as required to undertake assurance, training and compliance activities.

This post will be responsible for managing the day-to-day operational enquiries within the organisation on information asset management and DSPT compliance.

Education / Qualifications

First degree or equivalent experience of working in an Information Governance role in the public sector or similar

Knowledge of the Data Security & Protection Toolkit.

Knowledge of key legislation especially the Data Protection and Freedom of Information Acts

Experience

Experience of working in the field of information Governance or similar governance/compliance area.

Experience of co-ordinating compliance work and evidence

Experience of supporting meetings and events

Experience of facilitating audits and follow-up.

Experience of dealing with complex issues and ability to distil information to identify what is required and seek appropriate responses

Experience of responding promptly to queries and capturing information into written responses to queries

Experience in liaising with a range of internal and external stakeholders, and able to build effective working relationships with customers, managers and staff

Experience in capturing relevant information from complex conversations and distilling in the form of summaries or data capture tools

Able to work with minimal supervision by using own initiative and prioritising own workload.

Experience in preparing agendas, report writing and taking minutes

Excellent written communication skills (eg minutes of meetings, basic web copy, collation of existing guidance)

Experience of administrating web-based tools such as compliance systems and Data Security and Protection Toolkit

Knowledge

Understanding of Information Governance related legislation and standards including Confidentiality, the Data Protection legislation, Records Management, Information Sharing, Privacy FOI and wider Information Governance Requirements
