Job summary
An exciting opportunity has arisen for a full time Band 3 Medical Secretary working within the Rheumatology team at Torbay Hospital.
The successful candidate willprovide comprehensive and high quality secretarial, administrative and clerical support to the department ensuring an effective and efficient service is delivered.
- You will work with very little supervision, prioritising and managing your own workload on a day-to-day basis.
- You will support the Admin Team Leader to undertake change management.
- You will have excellent organisational, secretarial and communication skills, with a pass in GCSE English Language.
This opportunity is open to existing employees of Torbay and South Devon NHS Foundation Trust. Please note: Priority will be given to applicants with recognised 'Priority' or 'At Risk' status, including NHS staff identified across Devon.
Main duties of the job
- Support the day-to-day administration of the service
- Facilitate patient pathways by coordinating, booking and proactively tracking the timeliness of patient's treatments and appointments for patients requiring medication therapies
- Answer the nurse helpline and to respond to email queries
- Independently deal with patient/carer telephone calls and enquiries in an efficient, sensitive and confidential manner, exercising judgement to analyse and resolve any problems and referring on to the clinician as appropriate
- Ensure all test results and investigations are tracked effectively, shown to the relevant consultant promptly and to undertake appropriate action as instructed
- Clinical diaries (both paper and electronic) are to be maintained and checked against the published timetables
- Ensure that arrangements regarding medical staff leave and cover arrangements are circulated appropriately and that clinical activities are amended accordingly
- Taking and transcribing formal minutes if required
- Excellent organisational communication skills together with high levels of accuracy and attention to detail
- Undertake a variety of office duties
- Plan and organise own workload efficiently and to highlight any concerns to the Admin Team Leader
- Produce and update Standard Operating Procedures (SOPs) for all aspects of the Medical Secretary role

Essential
- Good standard of education (to include GCSE grade C in Maths and English or equivalent)
- Typing at a level of speed and accuracy equivalent to 40 wpm
Desirable
- AMSPAR / Medical terminology qualification
- Typing ability to a minimum of RSA II (or equivalent)
Knowledge and experience
Essential
- Proven secretarial and administrative experience
- Ability to effectively use Microsoft Office software
- Customer care experience of providing a customer focused service
- Sound understanding and observance of the principles of good data management, including legal responsibilities for data protection
- Excellent organisational and typing skills
- Ability to work on own initiative, prioritise own workload and achieve deadlines
Desirable
- Medical Secretary/NHS experience
- Knowledge and experience of the Trust patient administrative and information systems
- Understanding of Referral to Treatment Pathways
