Job Title: Admin Assistant
Responsible to: Team Leader
Job Summary
To deliver robust and high quality administrative and operational support to the Legal Service department and contribute to the general success of the business.
Core Responsibilities
- Monitor department inboxes and action emails
- Printing and posting documents
- Collecting, filling and shredding incoming post
- Inputting data as required
- Maintaining spread sheet data
- Photocopying, filing, scanning documents
- Collating bundles of documents both electronically & hard copies
- Copying discs, extracting information, encrypting discs, downloading medical radiology records
- Downloading full file prints
- Other Ad Hoc requests for administrative support
- To undertake any other tasks as deemed relevant and reasonable by the business.
Key Performance Indicators
Your KPIs and Objectives will be discussed and agreed with you on a one-to-one basis. You will have regular one-to-one meetings with your line manager to review your performance against these objectives and identify any areas for development and/or required support.
Person Specification
Essential
- Competent working with a case management system and good knowledge of Excel and Word.
- Ability to work to deadlines and with good time management skills
- Strong awareness of confidentiality and attention to detail
- Customer focused with strong communication skills
- Reliable and punctual with flexibility to cover for team members as required
- Ability to balance workloads and multitask as required
Desirable
- Experience working in a similar role
- Maintains a positive 'can do' attitude, self-motivated and uses own initiative.
- Team player who acts as a role model to your colleagues for the Firms values.
- Robust - able to deal with changing circumstances and challenging situations whilst still achieving objectives. Ability to work in a changing and fast paced environment.
